Quick answer

Search this question and you get $80,000 to $300,000. Search the next question along and you get $135,700 to $420,900. Both belong to the same publisher, on two pages posted the same day. So here is the other answer: every line priced from the retailer pages and the public fee schedules, in both currencies, read on one day.
$2,524.28 and CA$3,393.43
the same True undercounter refrigerator, same model number, read at two retailers on the same day, one in each country[5]
$262 a year
what the State of Florida charges a 1 to 49 seat cafe for a food service licence, plus $50 to apply and $0 for plan review[11]
16 days
the cash the median small restaurant actually holds, against the three to six months every guide recommends[21]
What does it actually cost?
In US dollars: $12,662.90 to $22,261.53 for a cart or kiosk, $95,658.90 to $172,578.53 for a 400 square foot takeaway counter, $225,600.75 to $404,758.53 for a 1,000 square foot cafe with seating. Every line names the seller or the authority that published it.

| Food establishment permit or business licence, first yearUS low is the Florida annual licence for 1 to 49 seats. US high is the top Austin band, risk 3A at $150,000 or more of food sales. The Canadian figure is the City of Toronto eating or drinking establishment licence, application fee included; the take-out class is CA$395.20. Toronto Public Health charges nothing for a fixed food premises. | $262 to $927 | State of Florida fee schedule, City of Austin fee schedule and City of Toronto licence pages, read 30 October 2026 |
| Licence application feeOne published fee, paid once on a new licence. The City of Toronto application fee sits inside the licence line above, so this line is left out of the Canadian total. | $50 to $50 | State of Florida fee schedule, read 30 October 2026 |
| Insurance, first yearA business owner policy. The Insureon median is $1,507 a year and The Hartford average is $2,636 a year. | Total, cart or kiosk | $12,662.90 to $22,261.53 | sum of the lines above |
Every figure in the calculator and in the tables below was read from the named retailer page or official fee schedule on 30 October 2026.
In: the espresso gear, one fridge, filtration, smallwares, one till, the licence and inspection fees, a first year of insurance and the fit-out. Out: rent, the lease deposit, opening stock, signage, furniture, staff and your own wage, because no source we could read prices those against a named authority.
Read the totals as a sum, not a survey. Nobody here asked a hundred owners what they spent. Get your own quotes, swap them in, and the shape holds.
Why do the published totals disagree?
Because one publisher wrote most of them and disagrees with itself. Bellwether has two pages on this, published the same day and modified the same week. The headline on one and the total on the other are the two numbers Google hands you. Its own summary table then contradicts its own headline, on the same screen. [1] [2]
| Publisher | Page | Date on page | Total stated | Source named? |
|---|---|---|---|---|
| Bellwether | Coffee Shop Startup Costs, headline | pub. 2026-04-04, mod. 2026-08-27 | $80,000 to $300,000 | No |
| Bellwether | same page, summary table | same | $83,000 / $201,000 / $455,000 | No, and it contradicts the headline |
| Bellwether | Business Plan and Startup Costs | same dates | $135,700 to $420,900 full shop; $73,600 to $211,600 small shop | No |
| Crimson Cup | Cost to Open a Coffee Shop | 24 September 2026 | $100,000 to $350,000, seating only | Yes, its own programme owners |
| Kafiex Roasters | How to Start a Coffee Shop | 30 July 2026 | $100,000 to $250,000, standard cafe | Yes, but to other blogs |
The sharpest tell is working capital. One Bellwether page calls three months of operating expenses $15,000 to $40,000; the other calls three months $45,000 to $150,000. Only Crimson Cup says where its ranges came from: self reported by owners in its own programme, more than 300 of them across 37 states, as of August 2026. Kafiex credits other blogs, by name, for every cost figure on its page. [3] [4]
Three more pages rank here and are absent on purpose. Toast, Investopedia and NuMarket each refused our connection, with a 403, a bot challenge or an app that would not load. We left them out rather than paraphrase a search snippet.
What do permits really cost?
Far less than the guides print, wherever the schedule is public. The published ranges put licences and permits at $1,000 to $8,000. [1] The State of Florida schedule puts a 30 seat cafe at $262 for a full year, $50 once to apply, and $0 for plan review. [11] Florida is the cheap end. The same shop pays $1,551 plus a $91 stormwater fee in Sacramento County, and we have priced the permits jurisdiction by jurisdiction from the schedules.
| Florida food service licence, by size | Full year |
|---|---|
| Nonseating | $242 |
| 1 to 49 seats | $262 |
| 50 to 149 seats | $273 |
| 150 to 249 seats | $294 |
| 250 to 349 seats | $315 |
| 350 to 499 seats | $336 |
| 500 or more seats | $357 |
Austin charges by risk level and by food sales, and prices the one-off reviews separately: $312 to review plans for new construction, $221 for a remodel under 2,500 square feet, $178 for the pre-opening inspection. It publishes no business licence fee, and neither does the Texas Comptroller on its sales tax permit page. [12] [13]
| Austin operating permit, by risk level | Fee, lowest to highest sales band |
|---|---|
| Risk 1 | $309 to $541 |
| Risk 2 | $309 to $879 |
| Risk 3 | $309 to $927 |
Toronto makes the business licence the fee, in two classes: CA$536.64 for an eating or drinking establishment and CA$395.20 for take-out or retail food, each an application fee plus a licence fee. Renewals are CA$362.96 and CA$261.04. Toronto Public Health asks to be notified of a new food premises and charges nothing for it.
[14] [15] [17]The building permit is the Toronto line that scales with your floor. The City publishes a formula and the rates that feed it: a CA$214.79 minimum, CA$12.45 a square metre for interior alterations in an assembly occupancy, CA$463.95 flat for commercial kitchen exhaust. A zoning certificate adds 25 percent of the permit fee. Over a 1,000 square foot fit-out, 92.9 square metres, that is CA$1,156.61 plus CA$289.15. That pair is our arithmetic from the City schedule, not a fee anyone quoted us.
[16]What about build-out?
This is where the money goes, and the published numbers split in two. Coffee blogs put build-out at $75 to $200 a square foot and cite each other. Contractors who name the brands they have built put quick service hard cost at $200 to $350. For ground-up coffee shops they put building hard cost at $375 to $600.
[4] [18] [19]The gap is not a disagreement. It is two different jobs. Fitting out a former food business is cheap, because the drains, the grease interceptor, the exhaust and the heavy power are in. Building from a raw shell means buying all of it. Nobody in the coffee-blog set separates the two.
One caveat. No independent, publicly readable dataset of cafe build-out cost per square foot appears to exist. Every figure above therefore comes from a company that sells construction or equipment. Get three local quotes, and ask each one what the previous tenant was.
How much working capital do you need?
Nobody official will tell you, so do the arithmetic and then look at what real shops hold. The US Small Business Administration publishes no months-of-reserve rule. It says to count a year of monthly expenses, add your one-time costs, then add about 10 percent for the unpredictable. It also notes that permits and licences tend to have clear published costs, which is the part this page priced. [20]
The three to six months you keep reading is a vendor line. Bellwether asks for three to six months and, further down the same page, at least four to six. Crimson Cup says six months. Kafiex says 6 to 12 and credits a blog. None of them names a lender, an agency or a dataset.
[1] [3]What has been measured is the gap between that advice and the practice. The JPMorgan Chase Institute found the median small restaurant holding 16 cash buffer days. That is 16 days of outflows if the money stopped coming in. Date it September 2016, and read it as the observed norm rather than a target.
[21]Can you open with $50,000? With $100,000?
Yes to a cart, almost to a counter, nowhere near a cafe. Format sets the answer, because the fit-out is the line that moves. Here is what each budget reaches on the priced lines, in US dollars.
| Budget | What the priced lines reach |
|---|---|
| $50,000 | the whole cart or kiosk build at $12,662.90 to $22,261.53, with room for stock and a deposit |
| $100,000 | a 400 square foot takeaway at the low end only; the lines total $95,658.90 to $172,578.53 |
| $225,000 | a 1,000 square foot cafe at the low end only; the lines total $225,600.75 to $404,758.53 |
What $50,000 does not buy is a lease, a patient landlord, or the cash to trade through a slow first winter. What $100,000 does not buy is a raw shell. If the cart is where your money lands, we price that format on is a mobile coffee cart profitable. The order of the whole job is in how to open a coffee shop.
Do most coffee shops fail?
No, and the rate you see quoted traces to a blog rather than a statistical agency. [4] Two national statistical systems publish survival tables for accommodation and food services, and they land two points apart at five years: 56.3 percent in the United States for the 2021 cohort, 55 percent in Canada across the 2002 to 2014 cohorts. Neither series cuts to coffee shops.
[22] [23]Figure
How many US food and accommodation businesses are still open
Values in percent of the 2021 cohort surviving
The shape matters more than the headline. Years one and two take most of the casualties. After three years a cohort loses under ten percent of its survivors a year. The Canadian report says the same: mortality is highest within three years of birth, then the decline turns gradual. Ten-year survival is the sobering figure, at 42.9 percent in the US series for the last cohort with a full decade.
What the research says
The US numbers are establishment-level counts from the Bureau of Labor Statistics Business Employment Dynamics programme. Accommodation and Food Services is the finest industry detail that series publishes.
[22]The Canadian numbers are enterprise-level. Innovation, Science and Economic Development Canada built them with Statistics Canada, from the National Accounts Longitudinal Microdata File. That report covers cohorts from 2002 to 2014 and was published in May 2018, so it is not 2026 data. It is the most recent official Canadian sector table we could read.
[23]The cash buffer finding is transaction-level rather than survey-based, drawn from the records of 600,000 small businesses and dated September 2016.
[21]What to do
- Price your own lines, in your own currency. Never convert across the border: the same True fridge is $2,524.28 in one country and CA$3,393.43 in the other. [6]
- Call the permit office before the equipment seller. The fees are published and often a few hundred dollars, and the building permit, not the licence, is the number to budget.
- Ask every space what it used to be. A former food business with drains, exhaust and heavy power in is the biggest saving available to you.
- Buy the cheaper machine and spend the difference on the grinder. Entry class two group machines start at $6,728.15 and premium ones at $16,670.00. [7] [8] [9] [10]
- Write the cash plan before the menu. Put your monthly costs in a coffee shop business plan, then check them against coffee shop profit margins and the coffee shop equipment list.
The short version
Priced from named sellers and public fee schedules on one day, in US dollars: a cart comes to $12,662.90 to $22,261.53. A 400 square foot takeaway comes to $95,658.90 to $172,578.53, a 1,000 square foot cafe to $225,600.75 to $404,758.53. The fit-out is the biggest line and the permits among the smallest, the opposite of how the popular ranges are built. The quoted $80,000 to $300,000 comes from a publisher whose own table totals something else. Price your own lines, then hold more cash than the median restaurant does.

Frequently asked questions
- Can I open a coffee shop with 50k?
- A cart or kiosk, yes. From named retailers and fee schedules on 30 October 2026, the cart lines total $12,662.90 to $22,261.53 in US dollars. A fixed shop is different, because the fit-out dominates: at the $200 to $350 a square foot quick service hard cost published by Timeless Construction, 400 square feet alone is $80,000 to $140,000 before equipment.
- Can I open a coffee shop with 100k?
- It covers a small takeaway counter near the low end of the priced lines and little past it. That 400 square foot takeaway totals $95,658.90 to $172,578.53 in US dollars, of which the fit-out is $80,000 to $140,000. A 1,000 square foot cafe totals $225,600.75 to $404,758.53 on the same lines, from the same retailers and fee schedules.
- How much money do I need to start a coffee shop?
- Add the lines you can price, then add the cash you need after opening. The US Small Business Administration publishes no months of reserve rule: it says to count at least a year of monthly expenses and add about 10 percent for the unpredictable. Vendors say three to six months, or six to eighteen, and name no source. The JPMorgan Chase Institute, across 600,000 small businesses in September 2016, found the median small restaurant holding 16 cash buffer days.
- Is a coffee shop a profitable business?
- A separate question from startup cost, and this page does not answer it. What official statistics show is how long these businesses last. US Bureau of Labor Statistics data put five year survival for accommodation and food services at 56.3 percent for the 2021 cohort, and Innovation, Science and Economic Development Canada with Statistics Canada put the same sector at 55 percent across the 2002 to 2014 cohorts. Neither cuts to coffee shops.
